When you use SimplicityAI, we may collect the following types of information:

• Personal Information: This includes your name, email address, payment information, and other data you provide during registration, billing, or support. Payment processing is handled by our payment service providers.
• Uploaded Content: PDF forms, source documents, extracted text, detected fields, answers, and instructions you provide for document processing and form filling, including information about other people contained in those documents.
• Usage Data: Information on how you interact with our platform, including IP addresses, browser type, device information, processing status, and counts of forms created or filled. ChatGPT usage counts are associated with your Simplicity account to apply plan allowances and understand service usage.

The data we collect is used for the following purposes:

• To provide and improve our services, ensuring the best possible user experience.
• To process payments and manage your account.
• To communicate with you about updates, offers, or support inquiries.
• To analyze usage trends and develop new features or enhancements.

We do not share, sell, or rent your personal data to third parties, except:

• Service Providers: We share data needed to operate the requested features with hosting, storage, document extraction and search, AI model, payment, and support service providers. Document processing may send relevant document text, page images, field labels, and supplied answers to AI providers, including Google and OpenAI, or through model-routing providers where configured.
• Legal Compliance: If required by law or to protect our legal rights, we may disclose your information to relevant authorities.

When you connect your Simplicity account to ChatGPT, OpenAI sends Simplicity the tool requests needed for your chosen task. These may include selected file download references and file names, form and document identifiers, answers, task-specific instructions, and account authorization information. Simplicity can download the files you select to process them. The integration does not request your entire chat history.

Simplicity sends tool results back to OpenAI so ChatGPT can display your forms and help you work with them. Depending on the action, results include form names, field labels and identifiers, current answers, processing status, and links to open forms. The embedded workspace also receives document previews and saved form data needed to display and edit your form. Data hidden from the conversational model can still be delivered to the ChatGPT-hosted workspace.

Information shared through ChatGPT is also handled by OpenAI under its applicable privacy terms and your ChatGPT account settings. Disconnecting Simplicity in ChatGPT is separate from deleting data stored in either service. To remove conversations or files held by ChatGPT, use OpenAI's available controls.

We use AI and document-processing services to identify fields, extract relevant information from source documents, and suggest or populate answers. These services may process personal information contained in the files and instructions you provide. AI output can be incomplete or incorrect; review the completed form before using it.

Only provide documents and information you are authorized to share. Do not send payment-card data, protected health information, government identifiers, passwords, API keys, or authentication codes through the ChatGPT plugin.

Saved forms, answers, and source documents are stored in your Simplicity account so you can reopen and use them later. Disconnecting the ChatGPT plugin does not delete those records. You can delete individual forms and source documents using the available website controls, or contact support to request deletion of personal information. Removal of associated files may run in the background.

We have not yet established fixed retention periods for saved content, operational logs, or backups, or a fixed deadline for completing deletion requests. We do not promise immediate removal from every system. Contact us for information about the data we hold and the scope and status of a deletion request.

When you delete your Simplicity account, we delete your account data, uploaded documents, saved forms, and answers. This does not delete copies held independently by ChatGPT or copies you have downloaded or shared.

We implement industry-standard security measures to protect your data from unauthorized access, disclosure, or misuse. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
